Equadis is looking for its future Office Manager!

We are seeking a versatile and organized Office Manager to join our team in Beirut. Reporting directly to the CIO, you will be a key pillar in ensuring the smooth day-to-day operations of our office. You will play a vital role in managing general services, providing administrative and financial support, organizing internal events, and supporting HR-related activities.

 

 

Main responsibilities

General Office Management

  • Oversee the proper management of office premises (maintenance, layout, safety).
  • Manage relationships with suppliers and external service providers.
  • Order and manage office supplies.
  • Ensure proper functioning of the office and basic equipment (printers, IT hardware, etc.).
  • Document all office-related procedures and operations.

Administrative and Financial Support

  • In coordination with the CIO, prepare financial reports and monitor the R&D department budget.
  • Organize and archive administrative documents.
  • Collaborate with the finance and accounting teams.

Event Coordination

  • Organize internal events at the Beirut site: team building, team lunches, seminars.
  • Support the marketing team in organizing global events (group seminars, professional and student fairs held in Lebanon).

HR Support

  • Act as a local point of contact for day-to-day HR matters.
  • Provide on-site support in organizing interviews and onboarding new employees.
  • Assist with administrative HR tasks, including maintaining personnel records and tracking leave/absences for the team.

 

 

Profile

  • Bachelor’s degree in Business Management or Business Administration.
  • Minimum 2 years of experience in a similar role.
  • Fluency in French and English (minimum B2 level required).
  • Excellent proficiency in Excel.
  • Good knowledge of office tools (Microsoft 365).
  • You are known for your organizational skills, attention to detail, and proactive approach.
  • With strong interpersonal skills, you are autonomous, discreet, and dependable.

This position is based in Beirut, Lebanon, and is offered as a 1-year fixed-term contract (CDD) with the goal of being converted to a permanent position (CDI).
